On Friday 14 and Saturday 15 May 2010, the EBRD will hold its Annual Meeting and Business Forum in Zagreb (Croatia) and is therefore in a need of a number of enthusiastic candidates to support the Annual Meeting.

Participation in this event is a great opportunity for employed and unemployed professionals with relevant experience looking for an opportunity to gain significant international experience in addition to stimulating compensation package.


Delegation Secretary (m/f)

Key tasks and responsibilities:

The role of the delegation secretary is to provide secretarial and administrative support to the delegation and ensure the smooth organisation of the meeting schedules. A delegation is usually made up of high-ranking officials from member countries of the EBRD, and may include ministers and heads of state.

Duties will include:

  • Keeping the diaries, arranging internal and external meetings, receiving visitors;
  • Typing of speeches, e-mails, reports, etc;
  • Photocopying and distributing documents and other materials as and when required to delegates, the constituency office members and staff members;
  • Ad-hoc administrative duties as required;
  • Supplying information on venues and local transportation for social events, local customs etc. as required;
  • Liaising with the delegation driver;
  • Organising refreshments for delegates (as instructed by the constituency secretary).

Essential Skills and Experience:

  • Fluent English (written and spoken), and fluency in other languages as required;
  • Proficiency in typing and computer literate (Windows NT: Outlook/Word/Excel);
  • Strong administrative/organisational skills with ability to work on own initiative;
  • Ability to understand and comply with deadlines, prioritising as necessary;
  • Ability to follow instructions;
  • Good communication skills, including pleasant and efficient telephone manner, diplomacy and tact;
  • Willingness to assist others and responsive to the needs of the delegation.

Personal Attributes:

  • Smart presentation and professional attitude;
  • Ability to remain calm under pressure, and a capacity for hard work;
  • Ability to work efficiently and cheerfully as part of a team;
  • Good sense of priorities and initiative, with an eye for detail;
  • Reliable, flexible and willing to work overtime if required.

Dates/Hours of work:

The estimated period of work is from Wednesday 12 to Saturday 15 May 2010, from approximately 08:00 to approximately 20:00.
