Functional Title: Junior Office Clerk
Project: “Removal of barriers for energy efficiency in Croatia”
Type of Post: SC
Duty Station: Zagreb, Croatia
Duration: 8 months, with possibility of extension
Commencement Date: 1st March 2012
Duties and responsibilities:
- Ordering office stationery, monitoring and providing project office with office supplies
- Ordering drinkable water for office purposes, arranging regular maintenance of all machines (including the coffee machine)
- Keeping business contacts and making regular updates
- Taking care of office reservations (meeting rooms, other necessary reservations)
- Assisting Project Assistant for Education and Events in translating various letters, documents, publications, etc.
- Assisting Logistics Clerk in taking vehicles to service, carwash etc when necessary.
- Sorting materials for workshops and various happenings
- Administrative support: copying, printing, scanning, sorting materials for various workshops, special events, etc.
- Taking care of the central phone line, answering calls and providing information to the parties
- Working as a receptionist and opening the main entrance doors when necessary
- Providing various logistics support to the project, i.e. dispatching and delivering incoming and outgoing mail and other deliveries (documents, contracts, miscellaneous letters, packages, etc.)
- Assuring that all office rooms are in a presentable condition (engaging a handyman if necessary and similar)
- Taking care of office maintenance (kitchen and other premises) and coordinating the cleaning with the cleaning lady
- Contacting services for various office repairs (air conditioning and heating device, door locks, plumming..)
- Ensure that paper and bottles are sorted for recycling and arrange recycled paper pick-up and bottles sale when needed
- All other tasks as assigned by the direct supervisor in accordance with the main role of the incumbent
Uvjeti
Skills and Qualifications needed:
Candidates for the position are expected:
- Relevant secondary education
- Excellent PC skills (Microsoft Office, Excel)
- Excellent communication and organizational skills
- Excellent knowledge of written and spoken English
- Experience on similar positions
- Ability to multi-task and work in a dynamic environment
- Motivation and enthusiasm for office and other administrative support and team work
- Drivers license B category (with minimum 2 years of experience of active driving)
