For our client, a successful international company we are looking for a motivated and enthusiastic person for the position of:
Office Manager / Operations Support Coordinator (m/f)
Location: Zagreb
Main responsibilities:
HR administration management- Ensuring legal compliance of overall employee documentation in coordination with partner law firm
- Managing Occupation Health documentation
- Obtaining work permits and visas
- Keeping sick leave and annual leave records
- Collecting employment documents and coordinating employee registration
- Writing all employee-related confirmations and letters
- Assist in the onboarding process for new hires
- Managing long lasting vendor relationships and continuously improving services
- Negotiating terms and conditions for office supplies
- Organizing the office layout and order stationery and equipment
- Maintaining the office condition and arrange necessary repairs
- Managing orders, purchases and monitoring deliveries
- Leading and supporting internal office projects
- Plan in-house or off-site activities, like parties, celebrations and retreats
- Coordinating website updates
- Coordinating reach and relevance activities (e.g. setting up round tables, conferences, etc.)
- Reviewing regional media to identify requests for proposals
Required skills, knowledge and experience:
- Bachelor’s degree or equivalent
- Minimum 5 years of experience in a similar role, preferably in an international environment
- Excellent organizational skills
- Excellent project management skills
- Ability to manage multiple priorities
- Proven effectiveness working with vendors and suppliers
- Strong communication and negotiation skills
- Confidence working with senior leadership on strategy implementation and operational issues
- Ability to take the initiative and deal with unexpected situations or last-minute changes; comfortable working with minimal direction and ambiguity
